There is a particular kind of tired that comes from holding things in your head. Not the work itself — the remembering. The mental background process that is tracking the thing you have to do at 3pm, the email you owe, the fact that the car registration expires this month. Every one of those is taking up room, and the room is finite.
Cognitive offloading is the research term for the obvious-in-hindsight fix: move the work out of your head and into the world. Write it down, set the alarm, put the object in the doorway. It sounds too simple to need a name, and yet it is one of the better-studied strategies in cognitive psychology — including the part most articles about it leave out, which is that it comes with a genuine tradeoff.

Cognitive offloading is any physical action you take that reduces the mental demand of a task. Setting a reminder rather than remembering. Writing a list rather than holding it. Turning a puzzle piece with your hands instead of rotating it mentally. The defining feature is that some of the cognitive work has been shifted from you to the environment.
The reason this matters for executive function is that working memory is where a great deal of executive work happens — holding the plan, tracking where you are in it, keeping the goal alive while you deal with an interruption. When working memory is the bottleneck, the most effective move is usually not to try harder at holding things. It is to stop needing to hold them. What the research actually shows
The performance gain is real
This is the well-established half. Across a range of tasks, people who offload perform better on the task in front of them than people who don't. In studies of delayed intentions — remembering to do something later — people set more reminders as memory demands increase, and setting those reminders raises the likelihood that the intention actually gets carried out [1]. When the cost of offloading is raised artificially so people do it less, immediate task performance drops [2]. The decision to offload appears to track a fairly sensible internal cost-benefit calculation — people weigh the effort of remembering against the effort of setting the reminder [8], and adjust with the length of the delay and how visible the cue will be [9].
The memory tradeoff nobody mentions
Here is the part the productivity articles skip. Offloading reliably reduces your later memory for the specific material you offloaded.
In a study using a pattern-copying task, participants who offloaded more performed better in the moment but remembered less about what they had been working with when tested afterward — and the effect persisted even when they knew a memory test was coming [2]. Related work has found that people tend to offload more than a purely rational accounting would justify, partly because they underestimate their own unaided memory and partly because offloading is simply less effortful [3]. That bias is stubborn: in one study, training people to judge their own memory more accurately improved their judgments without meaningfully reducing the pull toward setting a reminder anyway [11]. Offloading, in other words, is better modelled as a value-based decision about effort than as a straightforward readout of what you can remember [10].
So the honest framing is: offloading buys you performance now, and it charges you in unaided recall of the offloaded content later. For a grocery list, that is a trade you would take every time. For material you are genuinely trying to learn, it is a trade worth thinking about.
The part that makes the tradeoff manageable
The same research contains the fix. Participants who offloaded heavily but knew the information would matter later were able to almost entirely counteract the memory cost [2]. The cost is not automatic — it is largely a consequence of treating offloaded material as handled and therefore not worth attending to.
Practically: offload freely, and flag the small subset you actually want to retain. The difference between "I wrote it down so I don't have to think about it" and "I wrote it down and I intend to know this" turns out to be most of the effect.

Three things people get wrong about external systems
"Using reminders means I'm not really managing it myself." Externalizing effort is how skilled performance works nearly everywhere. Aviation and surgery both adopted checklists precisely because expert memory under load is unreliable, and nobody reads a surgical checklist as evidence the surgeon is coping poorly. Follow-through is the outcome that matters. How much of it happened unaided is not the score.
"I need a better system." Usually not. The more common problem is having several. When capture is split across a notes app, a whiteboard, sticky notes on the monitor, and a mental list, none of them is complete, so none of them is trusted, so you keep re-holding everything in your head as a hedge. One reliable capture point outperforms a better-designed system you only sometimes check.
"If I write it down, I'll remember it better." This is backwards for the offloaded content specifically, and it is the misconception the research most directly contradicts [2]. Writing something down is excellent for making sure it gets done. It is not a memorization strategy, and treating it as one is how people end up surprised by how little of their own notes they can recall.
Building a capture system you'll actually trust
Trust is the whole mechanism. An external system only frees working memory if some part of you genuinely believes it will surface the thing at the right moment. If you half-believe it, you keep running a background process as backup — which means you are paying the storage cost anyway and getting none of the relief.
Three properties do most of the work:
One inbox. A single place everything lands, regardless of how it arrived. Not a good system per category — one capture point, sorted later.
Zero friction at capture. If getting a thought into the system takes more than a few seconds, it will not survive contact with a busy Tuesday. Voice memo, a pinned note, an email to yourself — whichever one you'll actually use while walking to the car.
A review you actually do. This is the one that fails. A capture system without a habitual look-back is a place where intentions go to be forgotten with a clear conscience. Tie the review to something already in your day rather than to a resolution.
Consider how this fails in practice. You have a good notes app and you use it. But you also get tasks by text, and by email, and someone tells you things in the hallway. The app has maybe 60% of your commitments, so when you look at it, you know it's incomplete — and because you know that, you never fully hand over the tracking. You have all the overhead of a system and none of the offload. The fix is not a better app. It is making the app the place where the hallway conversation also lands, within about ten seconds of it ending.
Or: the review-shaped failure. Everything gets captured, faithfully, into one place. But you look at it when you remember to, which is Tuesday and then not until Friday, and by Friday there are forty items and looking at it feels bad, so you look at it less. What restores it is shrinking the review rather than steeling yourself for it — two minutes, same anchor point every day, attached to something that already happens like the first coffee or the end of a commute.

Offloading decisions, not just tasks
Most advice on this stops at tasks. But a large share of the executive load in an ordinary week is decisions, and decisions can be offloaded too — by making them once, in advance, instead of repeatedly in the moment.
An if-then rule is the basic unit: if it is Sunday evening, then I do the week's calendar review. If an email takes under two minutes, then I answer it now. If I have not started the report by 2pm, then I move it to tomorrow morning and stop renegotiating with myself about it. Each of these removes a recurring decision from the day.
This matters more than it sounds. Deciding whether to start something is often more expensive than starting it, and it is a decision that gets made repeatedly, each time under whatever conditions happen to be present. Pre-deciding moves the choice to a moment when you had capacity, and leaves your in-the-moment self with an instruction rather than a negotiation.
Standing defaults do similar work: the same breakfast on weekdays, a fixed slot for the recurring meeting, one designated place the keys live. Every default is a decision you have permanently stopped making.
Scaffolding the environment
Visual externalization and cue placement
Out of sight is genuinely out of mind when working memory is the constraint, and that cuts both ways — you can use it deliberately.
Put the thing you need in the path you will physically walk. The gym bag in front of the door, not in the closet. The form you must mail on the driver's seat. This is offloading in its most literal form: the environment is holding the reminder, and it is holding it in a place you cannot route around.
The same logic works in reverse for things you want less of. A phone in another room is a much stronger intervention than a phone face-down on the desk, because the second one still requires an in-the-moment decision every time you notice it.
Making state visible helps too. A physical board with three columns, a single index card with today's two real priorities, a whiteboard where the project lives — these work because they hold the plan where you can see it rather than requiring you to reconstruct it each time you sit down.
Transition and task-initiation scaffolds
Transitions are where a lot of executive work actually breaks — not during the task, but in the gap before it. Useful scaffolds here are small and specific: leaving a task deliberately unfinished at a point you know how to resume, writing the literal first physical action rather than the task name ("open the file and read last paragraph" rather than "work on report"), or setting a timer for a length short enough that starting doesn't require a decision about finishing.

Where body doubling fits: an honest evidence check
Body doubling — working alongside another person, in the room or on a video call, each doing your own thing — is probably the most popular executive-function strategy of the last few years. It deserves a clear-eyed paragraph.
What is true: a lot of people report it helps, the practice has been documented and characterized in accessibility research [4], and it is essentially risk-free.
What is not yet true: that it has been shown to work. A 2025 study using EEG alongside a reading-comprehension task compared working with a body double against working alone across neurotypical and ADHD participants. It found no statistically significant group-level difference — while also finding no negative effects and some promising individual-level trends, particularly among unmedicated participants with ADHD. The authors' own framing is that it appears safe and warrants further investigation as a user-led accommodation [5]. A dedicated study is currently underway through CHADD [6].
That is a genuinely different claim from "body doubling works," and most pages you'll find state the stronger version. Our read: it costs nothing to try, many people find it valuable, and you should hold it more lightly than the techniques above. Choosing which strategy fits which failure point
Strategies work when they are aimed at the actual break. A rough map:
If things get forgotten entirely — the break is capture. Fix the inbox before anything else. Nothing downstream works without it.
If you remember but at the wrong time — the break is cueing. You need the reminder in the path, tied to a place or an event rather than to a moment you have to notice.
If you know exactly what to do and cannot start — the break is initiation, and offloading won't help much on its own. Shrink the first step and pre-decide the start condition.
If you start fine but lose the thread — the break is holding the plan. Externalize the plan visually so re-entry costs nothing.
If everything is captured and nothing gets done — the break is usually decisions, not memory. Pre-commit with if-then rules rather than adding more tracking.
If it's all of these, all the time, across years and settings — that pattern is worth looking at directly rather than optimizing around. See the next section.
When strategies aren't enough
Strategies help most when the underlying capacity is roughly adequate and the demands have outgrown it. When someone has been struggling in this domain across most of their life, in more than one setting, and good systems keep collapsing anyway, that is worth understanding rather than out-engineering.
That can go two directions. A full psychological evaluation answers the question of what is driving it — ADHD, autism, anxiety, depression, sleep, or a combination — and executive difficulty is common to all of them, which is exactly why guessing is unreliable. NICE guidance is clear that an ADHD diagnosis in adults requires a full clinical assessment rather than a questionnaire result [7]. The other direction is coaching, which is about building and maintaining the systems rather than diagnosing anything. If you are weighing that, these are fair questions to ask any coach:
"How do you decide which strategy to try first — is there a way you identify where things are actually breaking?"
"What happens when a system I build with you stops working in month three?"
"How do you handle it if something in the sessions suggests an evaluation would be more useful than coaching?"
"What do I have at the end — habits, written systems, or both?"
Coaching and therapy are different instruments, and if what's in the way is anxiety or low mood rather than structure, therapy is likely the better fit.
